Use the Quick View Tab

The Quick View tab in the Review document details pane presents the native file version of a selected document:

  • If native files are part of your case database, the selected document’s native file will appear on this tab, provided the user has the appropriate permissions.

  • The native file displays on this tab using a file viewer, not the native file application.

  • If native files are not defined/do not exist for a selected record, the tab will be blank.

NOTE: Reviewers using the stand-alone viewer to work on a published case will not see native files in the Quick View tab. In this case, reviewers can open these files in the native file’s application (by double-clicking the native icon in the case table).

 

With the following exceptions, anyone with privileges to view a case or batch can view the contents of the Quick View tab.

  • Printing and creating a “TIFF on the Fly” require specific privileges.

  • Reviewers who do not have the privilege to see underneath redactions (called “restricted users” in this discussion), will have limited access to content on the Quick View tab after redactions are added.

    • When a user other than the restricted user adds a redaction, the restricted user will not see content on the Quick View  tab.

    • When a restricted user is the only person who has redacted content on a document, the user will be able to see the content they have redacted on that page.

If you have any questions about your rights to see Quick View content, contact your administrator.

There are several tasks you can perform on the Quick View tab, click on the links below to view step-by-step procedures for each task.

ClosedView a File on the Quick View Tab

To view the content of the Quick View tab:

  1. On the Dashboard, click the Review module.

  2. Select a Client and Case and click Open.

  3. For a selected record, click the Quick View tab. By default, if a native file exists, it will display.
  4. To view native files:

    1. Use the scroll bars to view all content.

    2. Double-click in the native file.

    3. If the Quick View display of the native file does not meet your needs, you may be able to open the native file in the native application. This requires that you have the needed privilege and also the native application.

ClosedCreate an Image File (TIFF on the Fly)

Review allows you to create image files for case documents, through the use of the “TIFF on the Fly” feature in the Quick View tab.

Note:

  • Only users who are given the appropriate privilege can use TIFF on the Fly.

  • You cannot create an image file if one is already defined for the selected record. The button will be dis­abled. If you create an image file through TIFF on the Fly, though, you can re-TIFF the image if needed (for example, to change from color to black and white).

  • You have a choice on the color format for the file.

    • A TIFF file is created for black-and-white images.

    • A PNG file is created for color images.

  • One image file for each page comprising a document is created.

  • TIFF-on-the-Fly images are placed in a subdirectory in the Images folder in the case data directory.

  • When images are added to a case in this way, the IMAGECNT field is updated to reflect the correct number of images for the document.

  • In addition, Review identifies ENDDOC and ENDATTACH values and adds these values to the fields.

  • Image files created in this way will not have word coordinates for search hit highlighting in the Image tab (search highlighting does appear on the Extracted Text tab and Quick View tab for text-based native files). If search highlighting is required on the Image tab, administrators can use the bulk OCR procedure explained in Create OCR for Multiple Documents (Bulk OCR).

Create Image File

If you have the privileges to do so and an image file for the record does not already exist (unless through a previous TIFF on the Fly action), create the file as follows:

  1. On the Dashboard, click the Review module.

  2. Select a Client and Case and click Open.

  3. For a selected record, click the Quick View tab.
  4. In the Quick View tab toolbar, click Tiff On The Fly. (This button will be active only if an image file is not already defined for the record.)

  5. If you are re-TIFFing the image, ensure the correct record has been selected and click Yes in response to the confirmation message.

  6. In the Tiff On The Fly dialog box, select one of the following options:

    • Convert to Black/White for a black and white TIFF image.

    • Convert to Color for a color PNG image.

  7. After the file is created, image files are created and placed in a subdirectory in the Images folder in the case data directory. The image file is named to match the name of the native file. If the file has multiple pages, pages 2+ include a suffix, as in -0002, -0003, etc.

  8. Click the Image tab to view the newly created image.

ClosedEmail a Native File

Review allows you to email a native file from the Quick View tab. A specific privilege is required to email native files; contact your administrator if you have any questions.

To email a native file:

  1. On the Dashboard, click the Review module.

  2. Select a Client and Case and click Open.

  3. For a selected record, click the Quick View tab.

  4. On the Quick View toolbar, click and complete the Email Native File dialog box as described in the following steps.
  5. Email Service: Choose one of the following methods for sending the email:

    • Outlook: Choose this option if you use Microsoft Outlook for your email.

    • SMTP Server: Choose this option to send email using another mail service. Enter the complete SMTP server name.

      NOTE:  To use the SMTP option, an SMTP email server must be  installed and configured. If you have questions about using this option, contact your IT department.

  6. Email Body: Complete these fields as necessary:

    • To: Enter the recipient’s email address. Separate multiple addresses with a semicolon and space, as in: jsmith@yourco.com;

    • From: If sending by Outlook, this field automatically contains your default Outlook account (can be changed in this step if needed). If sending by SMTP, enter the needed email address.

    • Subject: By default, the subject contains basic details about what is being sent. Change the subject if desired.

    • Body: By default, the body will include client, case, and document details. Change the body if desired.

      TIPS: To efficiently compose a long email:

      • If sending by Outlook, compose the body in the Outlook message (step 6).

      • If sending by SMTP, compose the email in a text editor and then paste it in the Body field.

      • Use common navigation keys to move throughout the text (arrow keys, etc.).

      • Line breaks are not recognized in emails sent by SMTP.

  7. When selections and entries are complete, click Send. Note:

    • If sending by SMTP, the email will be automatically sent.

    • If sending by Outlook, go to the next step.

  8. Outlook only: after clicking Send in Review, an Outlook message will be created. Review/revise the message if needed; when it is ready, click Send.
